From an operational problem to a working service
The project began with a familiar problem in dental recruitment: practices needed to fill shifts quickly, but the process involved far more than matching availability. Clinicians also had to provide the right professional and compliance evidence, practices needed confidence in who they were booking, and administrators needed a clear view of every stage.
Halesia worked with RecruitDent to turn that operational knowledge into a structured service. We mapped the journeys for clinicians, practices and administrators, defined how each stage should work, and translated an evolving business idea into a platform that could support day-to-day recruitment.
Building trust into the process
A clinician can create a profile, record their availability and submit documents such as professional registration, indemnity insurance, DBS and right-to-work evidence. Administrators can review that information and clearly distinguish between records that are missing, pending, verified, expired or rejected.
Practices see only the information relevant to their staffing decisions, while clinicians retain control of their own records. These boundaries matter because the platform handles sensitive personal, professional and compliance information within a regulated healthcare setting.
From an open shift to a confirmed booking
Practices can publish shifts with the relevant role, location, rate and documentary requirements. Eligible clinicians can apply, practices can review applicants, and a successful decision creates the corresponding booking and updates the rota.
The platform keeps the clinician, practice, application, compliance evidence and booking connected throughout the process. This replaces fragmented email threads and spreadsheets with a clear operational record of what happened, who acted and what remains outstanding.
RecruitDent continues to evolve alongside its commercial and operational needs. Learning from day-to-day use feeds back into the product, keeping the service closely aligned with the realities of dental recruitment as they change.
